Travel Coordinator

What are we looking for?

  • Assist with the implementation of the Company’s travel program (update of the T&E policy, negotiate hotels rates, airlines fares and car rental international contract, ensure the accommodations recommended to the employees respect the COVID-19 measures using International SOS, update the Egencia platform)
  • Master the Company`s reservations systems and procedures
  • Coordinate and communicate with the finance department and the other Office Managers based in each destination
  • Support Executive Committee members in their travel arrangements
  • Be the travel point of contact for the company
  • Help coordinating Delegation travels from origin to destination and consolidate all the information about the arrangements to the travelers
  • Guide the employees in front of VISA process and orientate to local office managers for local support
  • Manage the processes and tools offered under company’s agreement with ISOS.
  • Create and update employees’ profiles in Egencia as per the weekly email from HR
  • Be familiar with the Membership programs of the airlines and hotel chains to benefit the company and employees
  • Assist with flight organization for mobilities, home leaves and seminars

And if you meet the following criteria:

  • Degree in Hospitality, Travel, Tourism, or related field
  • Proven working experience as travel agent, minimum 3 years, experience as corporate travel agent is preferred
  • Experience in using Egencia
  • Proficiency in English; knowledge of additional languages is considered a major asset
  • Comprehensive knowledge of geography, local customs, travel documentation and other travel related information is considered an asset
  • Professional level of Microsoft Office package use
  • Passion for traveling
  • Can-do attitude
  • Great negotiator
  • Detail-oriented, excellent organizational and problem-solving skills
  • Flexibility, available during the weekend if needed in case of travel issues
  • Reactive and stress resilient
  • Personal travel experience will be considered advantageous
